This policy applies to paid BIMbc events that require registration, ticket purchase, exhibitor registration, sponsor registration, or invoice based payment. It does not apply to BIMbc training courses when a separate training policy is provided.
Submitting a registration form does not guarantee confirmed participation. Registration is confirmed only after BIMbc has reviewed the registration, issued any applicable invoice or confirmation details, and payment requirements have been satisfied.
For event categories with limited capacity, including exhibitor stands, sponsor opportunities, and innovation spotlight slots, BIMbc may confirm availability before issuing final confirmation.
Payment instructions will be provided by BIMbc after registration is submitted. Payment must be completed by the due date stated on the invoice or payment request.
BIMbc may release unpaid registrations, exhibitor stands, sponsor opportunities, or innovation spotlight slots if payment is not received by the stated deadline.
Cancellation requests must be submitted in writing to BIMbc.
Refunds may be provided when cancellation is received before the refund deadline stated on the specific event registration page or invoice. After that deadline, registrations are non refundable unless otherwise stated by BIMbc in writing.
Processing fees, administrative fees, or costs already incurred by BIMbc may be deducted from any refund.
Participant substitutions are generally permitted. A registered participant may request that another person from the same organization attend in their place.
Substitution requests must be submitted in writing before the event and are subject to BIMbc approval.
Exhibitor and sponsor registrations involve planning, space allocation, promotional commitments, and event visibility. Because of this, cancellation terms for exhibitors and sponsors may differ from standard participant registrations.
Refunds for exhibitor and sponsor cancellations are subject to the timing of the cancellation, costs already incurred by BIMbc, and any promotional benefits already delivered.
BIMbc may make reasonable changes to the event agenda, speakers, panelists, venue, timing, format, sponsor recognition, exhibitor layout, or other event details.
Such changes do not automatically qualify a registration for refund unless BIMbc determines that the change materially affects the nature of the event.
If BIMbc cancels an event, registrants will be offered a refund or another option determined by BIMbc.
If BIMbc postpones or reschedules an event, registrations may be transferred to the new date. BIMbc may also provide refund options depending on the circumstances.
BIMbc is not responsible for travel, accommodation, or other costs incurred by registrants, exhibitors, sponsors, or attendees.
Registrants who do not attend the event and do not cancel before the applicable deadline are not eligible for a refund.
